A medical sales rep finishing a clinic visit, notes still in their head, next meeting in 20 minutes, no time to sit down and update a CRM. This was happening 13 to 15 times a week, across 100 clinics, and the information was getting lost.
The Problem
Our client managed relationships with approximately 100 radiology and medical clinics in Australia, each with multiple doctors, practice managers, and front-desk staff. Their sales team conducted bi-monthly visits and alternate-month email follow-ups per clinic, generating 13 to 15 clinic interactions per rep per week, all of which needed to be tracked, noted, and acted on consistently.
The problem was practical and unglamorous: updating a CRM while on the road, between meetings, simply doesn’t happen reliably. Notes were forgotten, follow-ups were missed, and by the time a rep returned to a clinic two or three months later, the details of the last conversation had faded. There was no way to walk into a meeting fully briefed without spending significant time manually digging through scattered records.
What We Built
We built a voice-first CRM system designed around how medical reps actually work in the field, not how a desk-based system assumes they do.
After a clinic visit, the rep simply speaks into their phone, either during the meeting, where permitted, or immediately after, standing outside, describing what was discussed, what was promised, and what needs to happen next. The system transcribes the recording, extracts the key points, and updates the CRM automatically- no manual data entry, no typing up notes later that night. Everything is up to date by the time the rep reaches their next appointment.
The other half of the system is the pre-meeting briefing. Before every clinic visit, the rep automatically receives a summary via Telegram that covers the full history of that relationship: the last visit notes, outstanding commitments, revenue trends, doctor preferences, and any follow-ups due.
A meeting that happened three months ago gets surfaced exactly as it was recorded, so the rep walks in prepared, not catching up. The voice agent also handles in-field queries, letting reps ask questions about any clinic hands-free while driving between visits.
Underneath it all sits an Airtable-based CRM with n8n handling the automation workflows, Twilio and Vapi for voice, and a Google Calendar integration for scheduling, built to scale from 100 clinics to a full company-wide deployment across 1,200-plus clinics and multiple sales reps.
The Result
- CRM records updated automatically after every visit, through voice, with no manual data entry
- Reps receive a full pre-meeting briefing before every clinic visit, delivered via Telegram
- Follow-up scheduling and email drafting automated, reducing 13 to 15 weekly manual tasks per rep
- Revenue trends, referral patterns, and interaction history visible in real time across all 100 clinics
- System designed to scale from a single-rep pilot to a company-wide deployment
The Honest Bit
The technical stack itself was manageable. The harder problem was designing a system that reps would actually use in the field under real conditions: between meetings, in car parks, on a schedule that doesn’t leave time for careful note-taking.
The voice input had to be genuinely fast and forgiving, and the pre-meeting briefing had to arrive at exactly the right time without requiring any action from the rep to trigger it. Getting those two moments, the post-visit recording and the pre-visit briefing, to feel effortless rather than like extra work was where we spent the most design effort, because a CRM that requires discipline to maintain gets abandoned.
