A busy cosmetic clinic with several locations was missing calls, losing leads and double-booking appointments. We built an AI receptionist that answers every call, understands every treatment and books straight into the clinic’s system.
The problem
Call volume was high at every location, and staff struggled at peak times. Calls were missed, and qualified leads slipped away. Booking was manual, which led to double-bookings, and no one answered in the evenings or at weekends.
The clinic needed more than a message-taker. It needed something that could answer detailed treatment questions, qualify the caller and book a real appointment.
What we built
- 01
A receptionist that never clocks off
An AI voice agent with a natural, on-brand voice answers calls 24/7, qualifies leads, and books, reschedules or cancels appointments on its own. It hands over to staff only when a call is complex or sensitive.
- 02
It understands how treatments connect
This was the hardest part. We turned the clinic’s whole website into structured knowledge, but simple lookup kept missing the nuance. So we built a graph database that maps how procedures, concerns, body areas and practitioners relate. Now it can answer questions like “which non-surgical options are there for this concern, and how long do results last?”
- 03
A bridge to older software
The clinic’s practice software only offered a developer toolkit in an outdated language. We reverse-engineered its API and built a custom bridge, so the AI checks real availability and books directly.
The result
- A 24/7 receptionist that never misses a call, even at peak times
- Leads qualified and booked automatically, with fewer double-bookings
- Accurate, detailed answers about procedures
- Front desk and clinical staff freed up for patients in the clinic
- Works across every location without extra staff
Complex or sensitive calls are handed straight to staff, and the AI only books what the clinic’s system confirms is available.
Could this work for you?
Something similar could help if:
- Calls go unanswered at peak times or after hours
- Customers ask detailed questions before they book
- Your booking software is old and nothing seems to connect to it
